Job Summary:
The Inventory Control Specialist is a critical role responsible for ensuring the integrity and accuracy of inventory records across multiple states and operational systems. This position encompasses the meticulous tracking of production transfers, comprehensive processing of inventory submissions, generation of insightful reports, and proactive collaboration with cross-functional teams. The incumbent will play a pivotal role in maintaining regulatory compliance, mitigating discrepancies, and optimizing inventory management practices. The ideal candidate will demonstrate exceptional analytical acumen, a keen focus on detail, and substantive experience in inventory management, preferably within the cannabis industry.
Key Responsibilities:
- Production Transfer Management: Diligently monitor open production transfers across Florida, Georgia, West Virginia, and Arizona, ensuring timely reconciliation and issue resolution.
- Inventory Submission Administration: Oversee the processing of inventory submissions for FL, GA, WV, and AZ, rigorously addressing discrepancies pertaining to transfers, POS systems, SAP, Dutchie, QA incidents, recalls, in-store damages, destruction returns, green waste disposal, physical inventory counts, and end-of-year store audits.
- Discrepancy Resolution and Mitigation: Investigate, analyze, and rectify inventory variances and inconsistencies within transfer processes, POS systems, and SAP, implementing corrective actions to prevent recurrence.
- System Monitoring and Integrity: Proactively monitor Biotrack, Metric and OMS+, identify and escalate partially processed orders, and track rejected orders to maintain data integrity and system health.
- Reporting and Data Analysis: Generate and disseminate a suite of inventory reports, including open transfer reports, delivery order manifests, physical inventory count results, and end-of-year store audit reports, providing actionable insights to stakeholders.
- Quality Assurance Liaison: Support Quality Assurance initiatives by processing requests to quarantine items and managing the return of products to production facilities, ensuring adherence to quality standards and regulatory guidelines.
- Destruction and Disposal Oversight: Manage the handling of in-store damages and administer return transfers for the compliant destruction of medical products and associated merchandise.
- Audit and Compliance Support: Facilitate inventory audits by creating scanning count sheets, posting physical inventory dispensary counts, monitoring dispensary submissions, and processing audit templates, ensuring compliance with internal controls and regulatory mandates.
- Cross-Functional Collaboration and Partnership: Foster collaborative relationships with SAP, OMS+, IT, ECommerce, SE Control Hub, SW Control Hub, Retail Operations, Quality Assurance, and Logistics teams to effectively resolve inventory challenges, optimize workflows, and enhance operational efficiency.
- Standard Operating Procedure (SOP) Development: Contribute to the development and refinement of SOPs for inventory management protocols, promoting best practices and process standardization.
- Transfer Verification and Reconciliation: Validate open delivery orders, meticulously track transfer postings, and promptly report discrepancies to relevant stakeholders, ensuring accurate inventory movement and accountability.
- National State Mandate Compliance: Execute daily tasks related to state-mandated reporting and compliance, including the verification of Zendesk NSM, reconciliation of WV PI, and generation of comprehensive comparison reports for Ohio, Maryland, Connecticut, and West Virginia.
- Variance Analysis and Resolution: Conduct in-depth analysis of inventory variances, including those related to Metrc, Dutchie, and transfers, implementing effective solutions to maintain inventory accuracy and minimize losses.
Essential Qualifications:
- Bachelor's degree in Business Administration, Logistics, Supply Chain Management, or related discipline.
- A minimum of 3+ years of progressive experience in inventory control or a related field, with a preference for experience within the cannabis industry.
- Advanced proficiency in Microsoft Office Suite, with a focus on Excel (including expertise in complex data manipulation and analysis).
- Demonstrated experience with Enterprise Resource Planning (ERP) systems, such as SAP and Fiori.
- Exceptional analytical, problem-solving, and critical-thinking capabilities.
- Unwavering attention to detail and a commitment to accuracy.
- Superior communication (both written and verbal) and interpersonal skills, with the ability to effectively collaborate with diverse teams.

- Comprehensive knowledge of state regulations and compliance mandates governing cannabis inventory management.
- Proven track record of developing and implementing inventory control procedures and SOPs, driving process improvement and efficiency.

Additional Minimum Qualifications:
- Must be a minimum of 21 years of age.
- Must possess a valid driver’s license and a clear driving record.
- Must be able to pass a comprehensive background check and drug screening (level 1 and level 2).
- Must possess the mental and physical capacities necessary to perform the job duties.
Physical Requirements:
- Must be able to push, pull, move, and/or lift a minimum of 25 lbs. to a minimum height of 5 feet and able to push, pull, move, and/or carry such weight a minimum distance of 50 feet, with or without mechanical assistance.
- Must be able to work seated/standing as appropriate at workstations for extended periods of time, maintain body equilibrium while climbing ladders, stairways, stopping, kneeling, crouching, and reaching, and use hands/fingers to hold, grasp, turn, pick, pinch frequently/constantly to complete tasks.
- Must be able to handle organic matter daily, able to wear PPE as appropriate (eye, face, hand, arm, head, foot, body, fall protection), and able to be exposed to hot, cold, wet, humid, or windy conditions while wearing PPE (95 degrees or greater).
- Must have visual acuity with/without job aids to perform activities such as reading, viewing a computer terminal, visual inspection involving small parts/details. Clarity of vision at 20 ft or more in day and night/dark conditions.
- Must be able to speak and communicate verbally at conversation levels with co-workers, vendors, etc. (Moderate noise).
- Must be able to travel to site locations nationwide as needed.
Work Schedule:
- Up to 45+ hours weekly with flexible hours depending on store needs. Must be available to work evenings, weekends, and holidays. Travel 25%-50%.
Salary will be commensurate with experience. A comprehensive benefits package including paid time off is offered with this position. This position will work an average of 40 hours per week and will be available “after hours” if an emergency situation should arise.
