The Opportunity
The Legal Contract and Administrative Manager (LCAM) provides timely, efficient, and confidential administrative support to the office of the Chief Executive Officer (CEO) and Chief Legal Officer (CLO), Vice President of Strategy & Chief of Staff, and Board of Directors. This dynamic position requires a self-starter with superior time management and communication skills (oral, written and electronic), along with the ability to anticipate, think critically and offer solutions, while operating with a high level of professionalism, diplomacy and discretion. This LCAM will enjoy working in a fast-paced environment that is purpose and results driven and will be keenly interested in improving and streamlining the services delivered by the Legal department.
Responsibilities
Act as the primary liaison and Executive Assistant for both internal and external stakeholders on behalf of the Chief Executive Officer, Chief Legal Officer, Vice President of Strategy & Chief of Staff, and the Board of Directors—handling matters of a highly confidential and sensitive nature
Accountable for a broad range of administrative duties such as booking and coordinating meeting arrangements for key members of the Legal organization, providing and compiling business critical information, preparing agendas, monthly scorecards, reports and presentations, responding to and directing incoming inquiries, and special projects
Scheduling correspondence, monthly expense reports, review incoming documents, etc.
Review and closely track the Executive team’s budgets and accounts payable in cooperation with Finance team. Review incoming invoices for compliance with department billing policies and address issues with external service providers. Ensure timely accrual, approval, and payment of accounts
Support other Legal department personnel in managing Board of Directors meetings and documents as required
Manage the calendars, schedules, appointments, and business travel for the senior level team as well as preparing meeting documentation, presentations, and catering as required
Represent the Legal team by answering questions and coordinating required meetings with internal and external parties
Coordinate project-related activities and facilitate project communications, both verbally and through electronic means
Support the Executive team in executing and tracking performance management, professional development and employee engagement activities for the department
Handle phone calls, e-mails and inquiries and ensure that queries are directed to the proper person
Participate in the preparation, drafting and edits of strategic planning documents, operating plans and training materials, including preparation of slide decks, agendas and other meeting materials
Candidly advise the Executive team on matters pertaining to department operations
Proactively anticipate roadblocks and work to mitigate their impact; ultimately assisting where required in expediting resolutions, and contributing to team success
Maintain and manage document management system through ongoing migration and organization of legal documents
Prepare various legal documents, including but not limited to correspondence, emails, non-disclosure agreements and other legal or administrative documents as required
Prepare and file (when required), corporate documentation, including annual filings
Assist with drafting continuous disclosure documents, including AIF and Information circular
Assist with collection and drafting of precedents
Maintaining multiple minute books
Drafting general corporate documents including documents relating to incorporation and organization, amalgamations, complex amendments, continuances, and dissolutions
Assisting on complex transactions
Other duties as assigned
Experience
Experience as an Executive Assistant supporting a C-suite level Executive
College Degree or equivalent experience is an asset
In-depth knowledge and proficiency in the use of Microsoft Office, including but not limited to Word, Excel, PowerPoint, Teams, and SharePoint
Outstanding oral, written and electronic communication skills; must be able to work with and collaborate with internal and external stakeholders
Demonstrated aptitude to prioritize tasks based on comparative importance and urgency
Must be comfortable with legal terminology and have a strong understanding of legal contracts, agreements and other business and legal documents
Ability to work with minimal supervision and direction within a fast-paced, deadline-oriented environment
Strong attention to detail and demonstrated ability to provide a high level of accuracy
Solid judgment and decision-making ability
Proven experience working in a professional manner: ability to handle sensitive information with a high degree of confidentiality
Experience working in a legal professional environment is not necessary but is considered an extremely valuable asset
Other Details
This is a full-time, remote-first position based out of Toronto, Smiths Falls, or Ottawa. Travel within Canada and the U.S. may be required.
