JOB SUMMARY

The Facilities Inventory Specialist is responsible for maintaining an accurate inventory of all facility-related assets, equipment, and supplies. This role ensures that inventory records are up to date and that all items are properly stored and accounted for. The specialist works closely with the Facilities and Operations teams to monitor and reorder inventory, ensuring compliance with safety and regulatory standards.

PRIMARY RESPONSIBILITES

  • Monitor and maintain the inventory of facility assets, supplies, and equipment.
  • Perform routine inventory audits to ensure accuracy and compliance.
  • Update inventory records using inventory management software.
  • Track the movement of assets across various locations within the facility.
  • Ensure accurate labeling and storage of equipment and supplies.
  • Record and update inventory data regularly in the system.
  • Generate reports on inventory levels, asset conditions, and any discrepancies.
  • Provide inventory reports to management and recommend solutions for any issues identified.
  • Work with the procurement team to ensure timely ordering of supplies and replacement parts.
  • Maintain relationships with vendors for ordering, maintenance, and service.
  • Assist with the receipt and inspection of incoming supplies and equipment.
  • Ensure all equipment and supplies comply with safety regulations and standards.
  • Keep records of maintenance schedules for critical equipment.
  • Ensure proper storage of hazardous materials in compliance with safety standards.
  • Collaborate with the Facilities team to identify and fulfill inventory needs.
  • Coordinate with different departments to ensure proper allocation and use of inventory items.
  • Monitor inventory costs and identify opportunities to reduce expenses without compromising quality.
  • Implement cost-effective strategies for managing stock levels.

JOB REQUIREMENTS

  • High school diploma or GED required; Associate degree in business, logistics, or a related field is a plus.
  • 2+ years of experience in inventory management, logistics, or facilities management.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Familiarity with health and safety regulations, especially in relation to facility equipment.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Ability to work independently and collaboratively within a team.
  • Strong communication and interpersonal skills.
  • Problem-solving and analytical skills to address inventory discrepancies.
  • Ability to lift and handle inventory items as needed.
  • Certifications in Inventory Management (e.g., CPIM, CSCP) are a plus.
  • Experience working in facilities or operational environments (schools, hospitals, large offices, etc.).
  • This position may require occasional lifting, standing, or walking.
  • The role may involve working in a warehouse or storage room environment where inventory is stored.
